Creating LED Video Content: Aspect Ratio, Resolution, Frame Rate and Safe Areas

Many LED content problems are not screen faults. They come from files that were not created for the real pixel layout. Typical symptoms include stretched images, cropped faces, text too close to the edge, different proportions on three screens, excessive black bars, playback stutter or a black frame during switching. Content production should begin with the final pixel resolution of each screen zone, not with a generic 16:9 video.

Obtain the final resolution of every zone. With 640 × 640 mm P2.5 cabinets, one cabinet may be approximately 256 × 256 pixels, but a centre screen of 3.2 × 1.92 m and two side screens of 1.92 × 1.92 m have different zone ratios. The content can be one large canvas that is cropped into zones, or three independent videos. In either case, the filename and project schedule should state the zone, pixel size, frame rate, codec, bitrate and playback method.

Use a safe area for text and logos. Processor scaling, frames, cabinet seams, site obstructions and viewing distance all make edge text harder to read. Headlines, scores, times and customer information should be tested at the real viewing distance. Thin lines and light-gray text can disappear on an LED display even when they look sharp on a computer monitor. Font size, stroke width, contrast, brightness and pixel pitch all affect readability.

Frame rate and encoding must match the playback computer, processor and content type. Fast sports motion and camera feeds need stable timing. A very high bitrate, oversized file or unsupported codec can overload the decoder. Test the export on the actual playback computer, through the actual processor and on the real screen. A timeline preview in editing software is not a system acceptance test.

When three screens show different content, test the output window and crop boundary of each screen. For a multi-window playback system, record the top-left coordinate, width, height, full-screen/window mode and source. For a processor-based layout, record input, layer, scaling and output zone. The content team, processor engineer and event-software operator should use the same resolution table.

Acceptance content should include a static grid, small text, faces, gradients, fast motion, black, white and an emergency slide. Emergency content might say “Signal Lost,” “Event Paused” or “Please Keep Clear.” Keep the source project, exported files, fonts, media permissions, playlist and version numbers. The next event should not require the customer to search for the only file that has the correct aspect ratio.

Create a content specification before the creative team starts. It should state the pixel canvas for every screen zone, the intended frame rate, the colour space or export preset, the maximum file size or bitrate accepted by the playback system, the naming convention and the delivery deadline. If a screen uses a processor crop, include a diagram showing the crop coordinates. If the same video will be used on a 16:9 monitor and an irregular LED wall, make separate versions instead of asking the processor to solve every composition problem.

Plan for typography and translation. English, French, Spanish and other languages may have very different word lengths, and a title that fits one language may wrap or become too small in another. Keep enough horizontal space for the approved language, avoid text embedded too close to a cabinet seam and verify special characters on the actual playback computer. Keep fonts with the project or convert them to outlines according to the content workflow.

A production checklist should also cover frame-accurate switching, standby content, audio expectations, media permissions, emergency slides and the operator’s recovery steps. During rehearsal, disconnect the source briefly, change inputs and restart the playback application. If the audience still sees a clear fallback message and the operator can restore the correct playlist, the content system is ready for a real event rather than only a successful preview.

For international customers, keep the final content delivery in an English folder structure even if the event itself uses another language. Use clear names such as CENTER_1280x768_DAY_v03 and LEFT_768x768_STANDBY_v02. A short text file should explain which file belongs to which screen zone. This is particularly valuable when a local venue operator receives the package from an overseas reseller.
